E-Lock DeskSeal Service solution streamlined the Invoice generation and storage process at Mobifon, Romania by making it automatic

Mobifon is a leading mobile telephony service provider in Romania, with around 5 million subscribers.

Mobifon required generating thousands of invoices on a daily basis, which had to be printed, signed and stored. This procedure incurred high costs. Mobifon was looking out for ways to reduce costs and time required for generating these invoices and archiving them. Hence it decided to shift the procedure to an electronic mode. They developed a system to automatically generate invoices in PDF format. Now their challenge was to abide by the Romanian legislation, which stated that all electronically stored data and records needed to be signed digitally using a corporate digital certificate, which stated that all electronically stored data and records needed to be signed digitally using a corporate digital certificate, which resided on a smart card or a hardware device.

E-Lock developed an automated server side signing solution. This solution works as Windows based service, which polls the pre-defined folder on the server at regular intervals. The invoices generated are maintained in this folder, E-Lock DeskSeal Service picks up these invoices, signs them using certificate residing on a smart card and shifts the signed invoices to another folder which is serviced as an archival folder.

The solution required one time configuration. Thousands of invoices are now automatically signed and archived. The whole operation is unattended and run on a secure server. The service also logs the signing operation to the Server’s Event Manager for audit purposes.
